PRIVACY POLICY
THE PILATES HUB is a small independent studio. This PRIVACY POLICY explains how we process any personal data we collect when you visit the studio in person, register on our website or use our digital products.
Any data we do collect is done with your permission and is only used by us for essential communication about class and appointment bookings, the purchase of products and services and relevant and appropriate direct marketing designed to enhance your experience and the services we offer. We do not share your data with third parties at any time.
The Pilates Hub takes your privacy seriously and is committed to ensuring that your personal data is protected. Should we ask you to provide information when registering on our booking system or website you can be assured that it will only be used in accordance with this privacy statement.
HOW WE COLLECT YOUR DATA
The Pilates Hub collects your name, email address and other relevant personal data such as phone number, postal address, emergency contact, referral type, date of birth and gender (where appropriate) when you register through our booking system MINDBODY. This is necessary in order to carry out basic communication, fulfil bookings, give you the best service and to safeguard your health and wellbeing.
MINDBODY stores all data in servers and back up servers located in the United States. MINDBODY has a Privacy Shield certification which complies with GDPR regulations related to transferring data outside of the EU and their security is monitored 24/7, 365 days a year.
The basic data we collect is required to give you access to your account now and in the future. At the studio it is used by Hub personnel only for essential communication about your bookings, purchases, reminders and class changes and in the case of class cancellations and emergencies.
Payment information is collected at time of first purchase and is handled by MINDBODY using the secure online banking system Paysafe. We have been audited by Paysafe for payment handling processes and are fully Paysafe compliant. The Pilates Hub does not store customer payment information digitally or in paper form and all payment information we process is encrypted.
We also collect personal data in-house through a hard copy Health and Movement Form. This is required by our insurance company and provides essential information required to work within our professional and studio guidelines. We are required by law to keep client records for seven years after last visit. These records are kept in a locked file when not in use by the client’s teacher and are only seen by Hub personnel who have direct dealings with the client’s programme or bookings.
HOW WE USE YOUR DATA
We use email and SMS (text) as the primary form of communication with you if you are an existing customer via MINDBODY’S auto-email system. We also periodically send general email newsletters using MAILCHIMP about products and services we offer to both existing and previous customers, or those who have directly enquired about our services or visited for taster or other studio events. You have the right to opt out of these at any time (see below).
HOW WE PROTECT YOUR DATA
Our staff are trained to protect your digital and paper data using our secure systems (Mindbody, Paysafe and Mailchimp) and through due diligence with paper filing systems held under lock and key.
We do not share your information with any third party. If you are under the care of another practitioner, be that a doctor or manipulative / physical therapist we will ask that you pass on any relevant information, rather than us speaking to them directly, unless both parties have your express permission.
YOUR RIGHT TO OPT-OUT OF DIRECT MARKETING AND PROMOTIONS
We provide an opt-out for marketing emails in every communication sent. We invite prospective customers to opt-in for our newsletters and promotions in a secure form on our website and during the registration process. There are opportunities to opt out of these at any time if you don’t wish to stay in the loop and hear about our services and great offers.
If you are a repeat customer, we retain a record of your studio visits and activities as well as relevant health and fitness information relating to the services we provide. This data is collected to give you the best service possible and in order to tailor our products to customer needs more accurately in the future.
GENERAL DATA WE MONITOR
We collect information about our customers using Mindbody analytics and GOOGLE ANALYTICS This information includes data purchase history and attendance (MINDBODY), the amount of time spent on our website, the number of pages accessed and the popularity of each page (GOOGLE ANALYTICS). This information is used only by The Pilates Hub to improve our products and services. Google Analytics is a generic tool and does not identify the individual. We do not pass on or sell this information to any third parties.
COOKIES
Cookies are text files placed on your computer to collect standard internet log information and visitor behaviour information. This information is used to track visitor use of the website and to compile statistical reports on website activity.
You can set your browser not to accept cookies and the above websites tell you how to remove cookies from your browser. However in a few cases some of our website features may not function as a result.
